Finding the out-of-the-box SharePoint analytics tools insufficient to understand their overall portal activity, the Web and E-Learning Development Team at St. Paul’s Catholic College needed insight on the who, what, when, where, why and how of their portal. Identifying the most popular documents, blogs and communications desired was a priority for the productivity of the school management offices, student body, academic staff and parents. Alexander Orbell, the school’s Web and E-Learning Developer, turned to Intlock for an alternative solution, with CardioLog Analytics effectively providing the tools and analyses they sought, along with analyzing collected data from their existing Active Directory.

The Challenge

With the diverse needs of all portal users within the St. Paul’s Catholic College community, the intranet is the school’s destination site for information, systematizing the accessibility of educational resources and parent information and updates. With the intranet’s wide reaching audiences and goals, the need to understand navigation in depth with knowledge of popular sites, searches, and page visits was essential to user productivity.

The Solution

After implementing use of CardioLog Analytics, St. Paul’s Catholic College found that the solution’s concrete and practical insight on intranet usage and navigation trends provided the tools for portal optimization with accuracy. Orbell stated, “CardioLog provides far greater granularity and the opportunity to drill down into detail about usage and trends with its fantastic features.”

Orbell indicated that with more frequent analyses from usage reports, he and his team “[…] have been able to market the system more accurately to those who we know are not making full use of the system. Also, we have been able to optimize the navigation on all sites by looking at what pages are visited the most and identifying patterns of usage. We have found these results to be mostly relevant to our staff members, users who make high use of the system on a daily basis.” Orbell also indicated that his team hoped to have 100% of users registered and aware of login details.

“We have been able to optimize the search feature for our parents when they are looking for College information, such as uniform rules or trip/visit requirements. Despite the information being easily available through a menu navigation system, we found that parents find it useful to still simply search for keywords and be presented with relevant results. We have taken this feedback onboard and will work to implement search on both Staff and Student sites; both are significantly larger than the Parent site.” With the diverse search reports included in CardioLog Analytics, St. Paul’s Web and E-Learning Development Team can identify top search keywords, failed searches, top pages within which searches are conducted, and extensive data to drive changes in portal search and optimize intranet search.

What’s next? The college is looking forward to making regular use of the CardioLog Voice of Customer features. Orbell stated, “We predict that by using the Voice of Customer feature, we can increase user interaction and encourage users to suggest features and receive feedback on the estimated development times of those features where possible.”
